When you sign up to our emailing list
We will keep a record of your consent and when it was given. We will email you marketing communications. You can remove your consent at any time by clicking unsubscribe on the bottom of the email received or by contacting amber@ambersorrell.co.uk. Our lawful basis for this is your consent.When you request information about our services
We will keep a record of your request and reply with information about our services. Our lawful basis is legitimate interest.When you sign up to work with us and engage our services
We will register you as a client, communicate with you about the services you are engaging, provide the services you have engaged and invoice you for the services. Our lawful basis will be to perform a contract with you.
We also keep client contact details and payment transaction details in order to comply with statutory and regulatory requirements and to meet our legal requirements. The lawful basis is our legal obligation.
We may share this information with:
HMRC if and when required to do so by law for the purposes of meeting our legal obligations.
Trusted professional advisors such as accountants and lawyers only to the extent necessary for the purposes of processing our accounts, meeting our legal obligations and in the event of pursuing any legal claims.
Service providers such as email and cloud based platform providers and payment processors.
These service providers and professional advisors are also expected to comply with GDPR and treat personal data securely.
How we store your information
Your information is securely stored on our computer network and cloud based platforms. All devices and equipment used to access and store your personal data have appropriate security settings in place.
We only keep personal data for as long as necessary in relation to the purpose it was collected for. When it is no longer required, we will dispose of your information by securely destroying the records we hold.
We keep client records in accordance with UK statutory law and regulatory reporting timescales which is seven years.
In addition, for coaching clients, for the purposes of maintaining accreditation with International Coaching Federation (ICF) we retain client names, email address and a log of coaching hours. We do not share personally identifiable client information with ICF.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your information in certain circumstances.
Your right to object to processing - You have the right to object to the processing of your personal data in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
